Getting started

What can I do in Vela?

Vela combines powerful AI and bulk editing tools to help you manage, optimize, and grow your listings across multiple sales channels. AI features like listing scoring, platform-tailored optimization, photo management, AI background generation, and copy and merge make it easy to improve SEO and boost listing quality at scale. You can apply AI optimizations in bulk, refine product details, and keep your listings consistent across all your connected shops—all from one simple workspace.

How do I connect my shops?

You can connect your first shop during account creation by choosing the shop you’d like to add and completing authorization with that channel. You can also connect additional shops later by selecting “Add Shop” from your dashboard once you’re logged in. Vela will sync your listings automatically after each shop is connected.

What sales channels does Vela support?

Vela currently supports Etsy, Shopify, eBay, and Faire, with more channels coming soon. You can connect one or multiple shops and manage them all from a single workspace.

How do I create an account?

Go to getvela.ai and click “Get Started.” After you enter your name and email address and create a password, Vela will walk you through connecting your first shop so you can start managing your listings right away.

How many shops can I connect?

As many as you want, across all supported platforms. Each shop can only be connected to one Vela account.

Do I need to install anything?

No, Vela is web-based and works in your browser. We recommend using a computer (laptop or desktop) to access the app for the best experience.

Do changes in Vela affect my live shop immediately?

For individual and bulk edits, and listing creation - changes won't reflect in your shop until you click Publish, Schedule or Sync. When you connect and/or save changes to a profile, your shop is immediately updated.

Activate channels

How do I start a new shop directly from Vela?

To start a new shop directly from Vela, click “Add Shop” from your Shops dashboard. This opens the list of supported marketplaces, including Etsy, Shopify, Faire, and eBay. You can copy listings to this new shop using AI copy to instantly optimize them for the destination platform. Can I edit my listings in Vela before my new shop is live?

Absolutely. The activation workspace is your staging area—you can build, optimize, and preview listings long before your new shop goes public. Until you connect a live account on the new platform, you have free access to Vela tools for that shop. This lets you perfect content, imagery, and SEO before opening day.

What happens to my listings after I activate a new channel?

After activation, your listings appear in a new workspace inside Vela. You’ll have unlimited time to edit, optimize, and add more products before connecting the shop or publishing live. Once connected, you can choose when to publish the listings live in the new shop.

Do I need to already have an account on a new platform before activating a channel?

No. You can start the activation process in Vela before creating an account on the new platform. Vela gives you a full workspace to prepare and optimize your listings first. When you’re ready to publish, you’ll be prompted to create or log into your account on that platform, then connect it to Vela.

Bulk Edit

How do I open the bulk editor?

After selecting your listings, click “Edit” to open the Bulk Editor. This lets you update titles, descriptions, prices, photos, and more at the same time. For step-by-step instructions, watch the Help Center video on using the bulk editor.

How do I select listings to bulk edit?

From your listings dashboard, check the boxes next to the listings you want to edit. You can also use filters or search to find specific listings faster. For more details, see the Help Center video on selecting listings for bulk editing.

What’s the difference between Bulk Edit and Profiles?

Bulk Edit is best for one-off or time-sensitive changes. Profiles are reusable templates for recurring edits.

Can I schedule bulk edits?

Yes, after applying changes you can schedule them to go live at a specific time using the Schedule feature.

Can I undo bulk edits?

No. Once synced, changes are permanent. Always review before syncing. If you have selected “Apply,” but not “Sync Updates,” you can click back to the main listing screen and cancel the changes in the popup window. Scheduled updates can be canceled or rescheduled in the Schedule window.

Do edits apply to all selected listings or only the ones I’ve checked?

Edits in the top bar apply only to the checked listings. But when you sync, all edits made during that Bulk Edit session (checked and unchecked) are published.

Can I bulk delete listings?

Yes, you can bulk delete entire listings from the main dashboard using the checkboxes. Inside Bulk Edit, you can delete content elements (like tags, photos, or descriptions) but not the full listing.

Create + Publish

How do I create a listing?

You can create new listings by selecting “Create Listing,” copying an existing listing and editing the copy, or importing multiple listings in bulk with a CSV file. For a full walkthrough, see the Help Center video on creating listings.

Can I undo a published listing?

No undo is available, but you can edit or delete the listing once live.

Can I save drafts without publishing?

Yes, you can save as a draft in your shop, or save to Staging to keep the listing in Vela until you choose to publish. Listings in Staging do not count towards your subscription cost.

Can I add multiple shops when creating?

Yes, you can add them at creation using the shop list at top left. Edits and changes will need to be made in each shop tab within the listing. Later, use Copy or Merge to link additional shops.

CSV Import + Export

How do I edit listings in a CSV?

Open the CSV file you received, make your updates, and save it. Then return to Vela, click “Import,” and upload the edited file to bring your changes into the platform. For full instructions, see the Help Center video on editing listings in a CSV.

How do I export a CSV?

Select the listings you want to export, click “Export,” confirm your email address, and Vela will send the CSV file to your inbox. For a complete walkthrough, watch the Help Center video on exporting CSV files.

What happens if I delete a photo link in the CSV?

That photo will be removed from the listing when re-imported.

Can I keep editing while an import runs?

Yes. Imports run in the background, so you can navigate, edit, or even close Vela. The import continues until complete.

Can I download all my images?

Download links for all images and video in your listing will be included in your CSV export, but duplicates (like size charts) will appear in the row for each listing Studio is better for exporting a deduplicated image library, directly as files rather than links.

Can I schedule CSV imports?

You can schedule imported updates or new listings to publish at a specific date and time.

Can I use my own CSV format?

Yes, but you’ll need to map your columns in the Wizard. Starting with a Vela export or blank template is recommended.

What happens if my CSV has errors?

Vela highlights missing or incorrect fields in red. Fix them in Bulk Edit or directly in the listing editor before publishing.

What fields are included in exports?

Titles, descriptions, prices, tags, details, SKUs, inventory, variations, and photo/video URLs. Optional fields for Etsy listings are not included as they cannot be imported via CSV at this time, but they can be edited in bulk once the imports are complete.

Can I upload to multiple shops at once?

Yes. Select additional shops in the Mapping Wizard. Each shop import can then be reviewed and edited individually.

Can I create new listings with CSV?

Yes. Download a CSV template for new listings by clicking "Import" from the main dashboard. In an exported CSV of existing listings, add a new row for each listing you'd like to add. Leave the Listing ID column blank, and Vela will treat the row as a new listing. See the video on CSV Import and Export for details on adding listings with variations via CSV.

Copy

How do I copy a listing?

Hover over a listing and choose “Copy.” Then, select the destination shop and choose between a standard copy or an AI copy, which adapts the listing for the target platform. For more details, watch the Help Center video on copying listings.

If I edit one version of a copied listing, does it change in all shops?

No. Copy creates linked management, but edits remain per-shop. Switch tabs to update other shops.

What happens if I copy a listing that already exists in the destination shop?

It will create a duplicate, so best practice is to use Merge if the listing already exists.

What are the colored dots next to my listing?

There’s a dot for each shop you have connected to that listing, and they are color-coded by platform. Scroll over them to expand and see the platform logo. Listings copied to a new channel will now have an additional dot, indicating the connection.

Does copy also optimize photos?

Not currently — AI Copy works with text fields only. Photo edits can be done in Studio.

What’s the difference between Standard and AI Copy?

Standard Copy duplicates your content exactly. AI Copy adapts text for platform requirements, like character limits and SEO rules.

Merge

How do I merge listings?

To merge listings, hover over a listing, select “Merge,” and then choose the corresponding listing or listings in your other shop or shops. This helps keep products synced across channels. For a detailed walkthrough, see the Help Center video on merging listings.

Do merged listings share inventory?

Not yet. Merge lays the groundwork for inventory management, which will come in future updates.

What happens when I merge listings?

They become linked in Vela for side-by-side management, but edits still only apply per shop.

Can I unmerge?

No, there’s no unmerge option.

Profiles

How do I apply a profile?

You can apply a profile in several ways—by connecting listings directly from the profiles screen, or by choosing the profile from the dropdown when editing individual listings or performing bulk edits. Once you connect a listing, the fields included in the profile will overwrite the existing listing data, including any details that you have included but left blank. How do I create a profile?

You can create a profile manually in the profiles section by choosing "Create profile" and choosing the listing sections you'd like to include, or by saving an existing listing as a profile from within that listing by clicking "Save as a profile." Profiles make it easy to reuse details like descriptions, tags, and photos across multiple products. For more guidance, see the Help Center article and video on profiles.

Can I copy a profile to another shop or platform?

Yes. You can copy a profile to another connected shop or platform. Profiles are shop-specific, so the copy won’t auto-apply to listings in the new shop; review and adjust platform-specific fields (like attributes, policies, or shipping) before using it.

How do I retain SKUs, quantity, and prices for variations?

1. Make sure the variations in the profile exactly match the listing’s variations (spelling, order, capitalization). 2. Check the **Retain SKUs/Quantity/Prices** box when creating or editing the profile. 3. If variations don’t match exactly, the profile won’t connect. 4. Once connected, you can change SKU, quantity, or price individually without impacting other listings. 5. To update all connected listings’ SKUs, quantity, or price later, uncheck the box and save changes in the profile.

When should I use Profiles vs. Bulk Edit?

Profiles are best for repeating, reusable details like policies, standard variations, or template fields. Bulk Edit is better for one-off changes across many listings, such as a seasonal price increase.

What’s the difference between template mode and a standard profile?

Template mode is for creating new listings only. The profile will fill in the fields when you create the listing, but the new listing won’t stay connected to the profile afterward.

Can I undo or restore a profile change?

No. Once saved, changes sync immediately. To protect yourself, you can export listings as a CSV first for backup. If you need to undo, you’ll have to reapply values via Bulk Edit, CSV, or another profile.

Can I connect more than one profile to a listing?

Yes, as long as the profiles affect different fields. But often it’s simpler to combine fields into one profile.

What happens when I delete a profile?

Any connected listings remain live and keep the most recent data. The profile itself is removed, but listings are unaffected.

Do blank fields overwrite data?

Yes. If you include a section in your profile, blank fields in that section will overwrite the connected listings. For example, if you include variations but only fill one variation, all connected listings will be reduced to just that one.

Schedule

How do I schedule updates?

You can schedule bulk edits, individual edits, or new listings in Vela. After making your changes, choose "Schedule" to choose a future date and time to publish. This helps you plan updates around product launches or shop activity, and changes can go live when you're away from your computer. Is there a maximum number of scheduled actions?

There’s no hard limit, but platforms have rate limits. Avoid scheduling more than 500 listing updates per 24 hours.

Can I schedule bulk updates?

Yes. Scheduled bulk edits appear under ‘Updates’, while new listings appear under ‘Listings’.

Where can I see details of what will update?

For existing listings, only the section you edited shows. If you’re unsure, cancel, make the edits again, and reschedule. For new listings, you can adjust them in Drafts before rescheduling. https://vela-cc.webflow.io/post/cms-trends-2023

How do I delete a scheduled action?

Go to the Schedule section or directly into the listing and click Cancel.

How do I reschedule a scheduled action?

Go to the Schedule section and select the impacted listings, or directly into the listing, and click Reschedule.

Score + Optimize

How do I optimize a listing?

You can optimize any listing wherever you see the green wand icon. Add notes to guide the AI, retry for new results, revert if needed, or keep changes when you’re satisfied. You can optimize entire listings from the individual listing edit page, or optimize sections individually or in bulk. AI optimization is tailored for each selling platform and improves SEO performance. For more details, see the Help Center video on optimizing listings.

Can I optimize part of a listing, or does it update everything?

You have complete control. You can run full-listing optimization to refresh all editable fields at once, or use section-level optimization (titles, descriptions, tags or SEO metadata only) for more targeted updates. This lets you fine-tune specific areas while keeping other parts of your content exactly as you like them.

How does AI Optimize improve my score?

When you click Optimize or use the green wand icon, Vela’s AI rewrites or adjusts content like titles, descriptions and other SEO fields to improve relevance and clarity—raising your score and discoverability. You can preview AI’s suggestions, Keep them as-is, or Retry for new results before publishing.

What does my listing score mean?

Your listing score reflects how well your listing aligns with the best practices and SEO requirements of the platform it’s published on (like Etsy, Shopify, or eBay). Scores are generated using marketplace-specific criteria such as title structure, tags, descriptions, and photo setup—helping you instantly see where improvements can boost visibility and performance.

Studio

How do I create a new background with AI?

To create a new background with AI, hover over a photo in Studio or in your listing and click the edit icon. Choose “Remove Background” to isolate your product. You can use the endpoints to scale or rotate the item as needed. In the AI Generate box, enter a prompt describing the background you want, or click “Prompt Assist” to optimize your prompt for best results. Then click “Generate.” You’ll see three thumbnail options—click any to view them full-size. When you’re happy with a result, choose “Save to Existing Photo” to replace the image everywhere it’s used in your shop, or “Save as New Photo” to add it as a new image that can be used in listings or when creating new products. What can I do in Studio?

Studio is where you manage and enhance your product photos using Vela’s AI tools. You can upload, organize, and edit images; generate or replace backgrounds with AI; apply filters; and replace images in bulk across your listings. You can also expand images with AI to fit preset sizes for all your sales channels and social media platforms, helping your visuals stay consistent everywhere you sell. Are AI edits unlimited?

Currently yes, though some advanced AI features require a Vela Pro subscription.

Can I bulk download my images?

Yes, Studio deduplicates images so shop-wide downloads are cleaner than via CSV export. Select each photo you want to download, and select “Download” at top right.

Does alt text sync across all listings for an image?

Yes, once you add or edit alt text in Studio, it applies to every listing that uses that photo.

Can I undo changes to an image in Studio?

You can undo or revert while editing, but once saved, changes are permanent.

If I delete a photo in Studio, is it gone from my listings too?

Yes. Deleting an image from Studio removes it from all listings it’s attached to.
